Start with a task and its owner

Choose one workflow, such as turning an enquiry into a saved appointment. List the systems involved, the information needed at each step and the person responsible when something needs attention. Name the diary or customer system that holds the authoritative record.

Bring your software names, account arrangements, appointment types and current process to the setup discussion. A familiar provider name does not establish that every account or booking action can be connected.

Confirm what the connection will do

Reading availability, creating an appointment, changing it and recording a payment are separate requirements. Agree which actions are supported for your setup and which need team involvement. Provider access, permissions and any additional charges should be confirmed in the written proposal.

  • Identify the fields needed to match a customer and avoid duplicate records.
  • Agree which system updates the booking, payment and contact status.
  • Ask what happens when access expires, availability changes or an action fails.

Document the approved information, contact rules and exception owner. Your team should know how to take over and how changes to prices, opening hours or booking policies reach the workflow. Settle these responsibilities before enabling live actions.

Review whether the connection helps

Measure completed tasks, failed actions, duplicate records and staff time spent resolving exceptions. Compare with the previous process using your own volumes and costs. Add further workflows when the first one produces a dependable outcome. A connection is useful when it supports the agreed customer journey and gives your team a clear next step when it cannot.
