Plan separate appointments for each person, handle partial availability and keep booking permissions separate from access to private information.

Define what the family is asking for
A parent may want two children seen on the same afternoon, while an adult needs a different appointment type. Record each person separately, confirm who may arrange their appointment and ask whether adjacent times, one location or a particular practitioner matters most.
- Prepare person-matching rules that distinguish relatives sharing a surname, email or phone.
- Map each service to its duration, practitioner and location.
- Agree who receives each confirmation and what information it may contain.
Offer a clear set of appointments
Check the available combinations before presenting them. Say when appointments overlap, use different practitioners or require separate visits. Obtain agreement to the actual set of times; “the family is booked” is too vague.
Save and verify each appointment separately. Where the diary supports temporary holds, agree their expiry. If only some bookings succeed, identify the confirmed appointments and offer the next step for the others. Do not automatically cancel successful appointments unless that recovery rule was agreed.
Try the difficult combinations
Booking for someone does not automatically authorise access to their messages, documents or clinical information. Treat Portal access as a separate permission with its own checks.
- Book two people, then make the second slot unavailable before saving.
- Change one person’s appointment and check that the other remains unchanged.
- Test separate payment requests, a shared contact number and a request from someone without booking authority.
Measure the family task and each appointment
Record family enquiries, complete and partial booking outcomes, duplicate records and time spent resolving exceptions. Count attendance per appointment, while measuring the time taken to organise the family as one administrative task. A multi-booking conversation does not establish additional revenue unless those visits are additional and completed.
