Manage chiropractic appointment changes without rewriting the care plan
Distinguish new consultations from return visits and handle individual changes within a practitioner-approved schedule.

Identify which appointment is being changed
A new consultation and a return appointment may have different durations and booking rules. Where a patient has several future visits, identify the exact appointment by date and reference before making a change.
- Prepare the correct practitioner and service mapping.
- Record which schedule changes staff must approve.
- Explain any agreed cancellation or payment terms before confirming a change.
Update one visit deliberately
Show or repeat the current appointment and the requested alternative. Check availability, save the change and confirm the resulting diary state. Leave other visits intact unless the patient requested a wider change and the practice’s rules permit it.
If the patient asks whether appointments are still needed, send that question to the practitioner. A cancellation request is an administrative instruction, not evidence that a care plan should be extended, shortened or replaced.
Test a series with one failed change
Use three fictional future appointments and move the middle one. Make the new slot unavailable during the request. The original appointment should retain its correct state until the system confirms a successful update or the agreed recovery process resolves it.
- Check that reminders for untouched appointments remain correct.
- Try a cancellation that affects a prepayment and route the financial exception under the agreed terms.
- Ask about symptoms and verify that the request reaches the qualified team.
Review corrections and attendance
Measure completed booking changes, duplicate appointments, outdated reminders and reception time. Track attendance without presenting additional scheduled visits as proof of patient benefit. Assess the administrative workflow against the practice’s previous process and actual operating costs.
