Explain appointment arrangements, separate requests that require staff and prevent routine automation from becoming clinical decision-making.

Define a limited administrative menu
List the appointment types the workflow may book and the requests it may only pass to staff. Give each location its correct services, opening hours and contact arrangements. Where staff authorisation or referral review is needed, complete it before presenting a bookable slot.
- Prepare approved fees, durations, clinician and location rules.
- Set the identity checks appropriate to each administrative action.
- Agree an immediate route for urgent concerns and a separate response expectation for routine messages.
Keep the request in the correct system
Use the connected diary for availability and saved-booking status. Use the clinic’s approved secure route for private documents or clinical information. An ordinary message should not be treated as authority to disclose results or change a care plan.
After a successful booking or change, confirm the administrative details. If a request is queued for a person, label it as awaiting review. Do not make a pending request look like a completed clinical or diary action.
Test mixed-purpose enquiries
Try a person asking to move an appointment while also asking for test results. The workflow should handle only the authorised booking action and direct the other request appropriately.
- Test an unknown patient, a duplicate record and a representative with limited authority.
- Ask for a clinical recommendation and verify the handover.
- Check an urgent concern outside clinic hours against the clinic’s supplied process.
Review administrative completion
Measure correct bookings, unresolved requests, handover response times and privacy-related exceptions. Compare staff administration time with the previous process. Appointment completion is an operational measure; it does not validate diagnosis, prescribing or clinical care.
