Prepare the appointment rules

Map initial assessments, follow-up visits and any other bookable service to their correct duration and therapist rules. The therapist supplies the next-visit instruction; the workflow should not decide how many sessions a patient needs.

  • Identify the record containing the approved return interval or next appointment instruction.
  • Agree continuity preferences and when another therapist may be offered.
  • Define how cancellation terms and existing payments apply to changes.

Book the authorised next step

Offer appointments that fit the patient’s stated preferences and the approved scheduling rules. If the requested change falls outside those rules, ask the team to review it.

Check the saved appointment before confirming. When moving a visit, verify that the old reminder is stopped and the new one uses the correct therapist and location. A request for exercise advice or a change to the care plan should reach the physiotherapist.

Test a gap in availability

Use an example where the regular therapist has no suitable slot. The assistant should explain the available next step under the practice’s rules, rather than selecting an alternative clinician or changing the return interval by assumption.

  • Move one visit in a planned series and check the remaining appointments.
  • Test a cancelled visit that is still in a reminder list.
  • Ask a clinical question and check that appointment automation yields to the team.

Review attendance and administration

Measure correct follow-up bookings, attended visits, changed appointments and staff time resolving exceptions. Separate visits brought forward from additional visits. An improvement in scheduling does not establish an improvement in pain, recovery or other treatment outcomes.

Start with appointment administration for one location or therapist. Follow-up timing comes from the treating team, with extra products only for agreed payments or self-service.
