Prepare owner and animal matching
An owner may have several animals with similar names or share responsibility with another person. Identify the authorised contact and the specific animal before discussing a record or making a booking. Do not create a new patient solely because a spelling differs.
- Map the owner identifier, animal identifier and permitted contact details.
- Prepare routine appointment types, species restrictions and duration rules supplied by the practice.
- Separate clinical recall instructions from owner-requested appointments.
Keep routine administration on its agreed path
Confirm which animal and routine service the enquiry concerns, then check the appropriate diary. Save the appointment before sending a confirmation that makes the animal, date and location clear.
If the owner describes an urgent concern or asks for clinical advice, use the practice’s approved immediate handover instructions. Do not continue through a routine booking sequence as though the concern has been assessed. Out-of-hours enquiries need the practice’s specified route.
Test a multi-pet household
Book one animal, then ask to change an appointment for another. Check that the original record and reminders remain untouched. Use fictional records so the team can inspect each result.
- Try two animals with the same name under different owners.
- Check a person whose authority to access the record is unclear.
- Test an urgent enquiry outside opening hours and verify the approved response.
Measure correct routine bookings
Track successful routine bookings, attendance, duplicate animal records, misdirected messages and staff corrections. Review whether urgent handovers reach the intended route. Keep appointment administration separate from any claim about animal health or clinical outcomes.
