Agree the booking and payment rules
Start with the appointment types that require a deposit, the amount and the payment deadline. Decide whether a slot can be held while the customer pays and what happens when that window expires. These actions depend on the agreed diary and payment connections.
Prepare clear cancellation, refund and rescheduling terms for your business. A deposit is part of the booking payment, not additional appointment revenue. Explain any remaining balance and when it is due before the customer commits.
Send a clear payment request
The message should identify the proposed appointment, the deposit amount and the deadline, then link to the agreed secure checkout. The customer pays on the payment page; do not ask them to type card details into WhatsApp. Provide a team contact for payment or booking questions.
- Call an unpaid reserved slot a hold or pending booking when that is its actual status.
- Agree how expired links, failed payments and payments received after a hold expires reach the team.
Confirm the saved appointment
A customer's message saying they paid is not the same as a verified payment result. Agree which payment event updates the record and when the appointment becomes confirmed. Where payment is required first, verify it and save the booking before sending confirmation.
Include the full date, local time, appointment type, location, reference, deposit status and change instructions. If payment succeeds but the booking cannot be saved, give the customer a clear next step and route the exception to your team.
Assess the outcome with your own figures
Compare held slots, completed payments, confirmed appointments and attended visits. Review expired holds, refunds and support time too. Assess retained appointment contribution after delivery costs and payment fees against the relevant service charges. The workflow alone does not establish how many missed appointments were prevented.
